Marketing Guidelines
The mission of the Dallas Theatre League Marketing Committee is to support and promote Dallas Theatre while maintaining the mission of the Dallas Theatre League, the following guidelines and procedures are in place.

Monthly Flyer & PR
Each month the Dallas Theatre League will present a flyer of all shows running by member companies to be printed or inserted into programs as well as sent to the media (including D Magazine, Dallas Morning News, Dallas Observer and more) to support and promote each other and increase audience awareness.

Submissions: Please submit the show, theater company, start date, end date and website at least two weeks prior to the first day of the month to both tim@shane-arts.com and Maureen@actoneproductions.org. For example, if you have a show running in February, please submit the information on or before January 15th. As the flyers are printed monthly, even if your show opens on February 28th, it would still qualify to be on the February monthly flyer with the same submission deadline. Shows do NOT have to be Rabin Eligible to be listed on the flyer.
Late Submissions: Late submissions, changes or updates may be submitted after the deadline, but no guarantee is given that they will make it onto the flyer.
Early Submissions: To avoid confusion and extra work, please do not submit your show information more than 3 months in advance.
Format: The flyer will be E-mailed to your primary Dallas Theatre League contact in MS Word format as a draft the last week of the month, with the final draft sent before or one the first of the month. Listings should be in an Arial font to match the look of the Dallas Theatre League logo and not to pick up the style of identity of any one company. This choice is also because Arial is a universal font used by most printers, computers and software packages. The show title should be in bold italic, the theater company on the same line whenever possible. The second line should consist of the dates and website all in a plain font. It will be sent in MS Word for easier formatting when printing directly in your programs or inserts.
Order: Shows will be listed by A.) Opening Date, B.) Alphabetical by show title. This gives each theater company a chance to appear in different positions in the listing per month. Please do not adjust or edit the order of the listings.
Edits: If a change or edit must be made after the final flyer has been distributed, please correct the change in your flyer and attach it to both tim@shane-arts.com and Maureen@actoneproductions.org who will then, in turn submit the updated flyer to the other League Members.

Prospective/Non-Member PR
As part of the mission of the Dallas Theatre League is to promote and support live theatre, we will also support and promote prospective and non-member theater companies whenever space and time allow. Prospective and non-member theater companies will be listed by longevity followed by alphabetical order. The Dallas Theatre League is not responsible for any publication’s choice to run, omit, and/or modify the information in their publications.
WEBSITE
Each week the Dallas Theatre League updates their calendar of all shows running by member companies to support and promote each other and increase audience awareness. We want the website to be as accurate as possible and the main source of information for audiences, press, and colleagues about the activity, news and updates of our member theaters.
Submissions: Please submit the show (title and author), theater company, start date, end date, website, box office phone number and curtain times. If you offer different times and different days, or multiple shows per day such as matinees and evening performances, please highlight that in the submission. You may submit up to a year in advance up to two weeks prior to the opening of the show to tim@shane-arts.com.. For example, if you have a show running in February 1st, please submit the information on or before January 15th. The website is updated at the beginning of each week (usually on a Monday or Tuesday) Shows do NOT have to be Rabin Eligible to be listed on the website.

Format: The web calendar will appear in html to be accessible to most systems and browsers. The show will be listed on each date of the calendar with the term “through” [closing date]. The company’s name will be a hyper link to their own website where each individual company is responsible for their own information on their website being correct and functioning.

Edits: If a change or edit must be made after the calendar has been published, please notify us the change in your flyer and attach it to both tim@shane-arts.com and membership@dallastheatreleague.org who will then, in turn submit the updated flyer to the other League Members.
Web Graphics: Member companies may submit graphics, logos, show photos and more to highlight their company on the calendar pages in both .gif and .jpg format. Please keep graphics under 250 pixels wide and 200 pixels high, between 72-150 dpi and no larger than 2 megs. Please do not send graphics that may be interpreted as vulgar and/or offensive. Graphics will be used throughout the design of the calendar pages and whenever possible linked back to the companies website.
